Tasks

The Tasks section displays the list of all the tasks accessible for the current user. Depending on the user access rights, he/she can view tasks, manage them, create new tasks, or edit existing ones.

Tasks in the list

In the task list, you can view the following information about tasks:

  • the task title,
  • the task status designated with the corresponding icon on the left: open Open task or closed Closed task,
  • the person who is responsible for the task (or a number of the responsible persons),
  • the task deadline (the nearest deadlines are highlighted with blue),
  • the number of open and closed subtasks Subtasks displayed on the right.

Sort and filter tasks in the list

To easily find the necessary task in the list, you can apply different sort and filter parameters.

  1. tap the Filter icon icon in the upper right corner,
  2. tap the arrow next to the Sort by menu item and select the necessary sorting criterion: Due date, Priority, Creation date, Start date, Title, or Order,
  3. tap the necessary filter in the Filter list: Status, Responsible, Due date, or Projects,
  4. choose the necessary parameters for the selected filter:
    • to filter tasks by Status, select the necessary status (Open or Closed) on the next screen and tap Done.
    • to filter tasks by Responsible, check the necessary user in the Responsible list and tap Done. To easily find the person you need, switch between the People and Groups tab and use the Search field on the top.
    • to filter tasks by Due date, select one of the available presets: Overdue, Today, Upcoming or check the Custom period option and specify the Begin and End dates above. When ready, tap Done.
    • to filter tasks by Project, select one of the available projects and tap Done.
  5. if necessary, apply another available filters,
  6. tap Done in the upper right corner of the Sort and Filters screen.

Manage tasks in the list

To change the task status touch close to the edge of the screen to the left of the necessary task in the task list and swipe right to access the menu. Tap the necessary option to change the task status:

For open tasks, the Closed option is available that allows to close the selected task.

For closed tasks, the Open option is available that allows to reopen the selected task.

Touch close to the edge of the screen to the right of the necessary task in the task list and swipe left to access the menu and choose the necessary action:

Actions on an item - allows to choose one of the following actions:

  • View the selected task,
  • Edit the selected task,
  • Notify responsible by sending a notification,
  • Add subtask to the selected task,
  • Delete the selected task.

Edit item - allows to edit the selected task.

Delete item - allows to delete the selected task.

In the Task section, you can also select several tasks and delete all of them at once or change their status, e.g. close several opened tasks at once. To do that:

Tap the Select objects icon in the upper right corner and tap empty circles Select item on the left hand of the necessary tasks one at a time. Tap the Delete or Close/Open caption at the bottom of the screen.

View tasks

To view a certain task, you can proceed in one of the following ways:

  1. tap the task name in the task list,
  2. touch close to the edge of the screen to the right of the necessary task in the task list and swipe left to access the menu. Choose the More option, then tap the View option.

The task overview screen opens. The Task section is activated by default.

To navigate between the task sections, tap the icons at the bottom panel:

Task info - to view the task info: title, project, milestone, status, priority, responsible person(s), creation date, the user who created this task,

Task subtasks - to view the list of subtasks added to this task. If you have corresponding rights, you can manage existing subtasks or add new subtasks to the task using the Create new item icon in the upper right corner.

Task documents - to view the documents attached to this task,

Task comments - to view the comments related to this task.

Create a new task

If you have corresponding rights to create a task, the Create new item icon is available in the upper right corner of the task list. To create a new task:

  1. tap the Create new item icon - the new task creation form opens,

  2. specify the task Title (this field is obligatory),
  3. enter a short Description, if necessary,
  4. select a Project you want to add the task to (this option is obligatory): tap None, then choose one of the available projects. When ready, tap Back,
  5. select a Milestone you want to add the task to: tap None, then choose one of the available milestones within the previously selected project. When ready, tap Back,
  6. choose the responsible person you wish to assign this task to using the Assigned to option: tap Nobody, then choose one of the available users on the Responsible screen tapping his/her name. When ready, tap Back,
  7. set a Start date: tap the None option on the right and select a date using the calendar below,
  8. set a Due date: tap the None option on the right, select one of the predefined options: Today, 3 days, or Week, or set a custom date using the calendar below.
  9. the Notify switcher is turned on by default, it allows to send a notification to the responsible person. Turn it off if you don't want to send a notification.
  10. tap the High Priority switcher, if necessary. Use this option if you consider the newly created task to be more important than others,
  11. when ready, tap the Create caption in the upper right corner of the New Task screen.

Edit tasks

To adjust some task settings, open the Edit Task screen in one of the following ways:

  • touch close to the edge of the screen to the right of the necessary task in the task list and swipe left to access the menu, then choose the Edit item Edit option,

  • tap the task name in the task list to view it, then tap the Edit task icon in the upper right corner.

On the Edit Task screen, change the necessary parameters specified when creating the task. You can also change the task Status selecting one of the options: Open or Closed. When ready, tap Done in the upper right corner.

If you want to delete the task, you can swipe up, tap the Delete Task option at the bottom of the Edit Task screen and confirm this action.

Create a new subtask

To start creating a new subtask, you can proceed in one of the following ways:

  • when the task overview screen is opened, tap the Task subtasks icon at the bottom of screen, then tap the Create new item icon in the upper right corner of the subtask list,
  • in the task list, touch close to the edge of the screen to the right of the necessary task, swipe left to access the menu, tap the More option, then choose the Add subtask option.

On the Add Subtask screen, create a subtask:

  • specify your subtask Title in the Describe this task field,
  • select the responsible person you wish to assign this subtask to: tap Nobody, check the necessary user in the Users list and return to the previous screen.
  • tap the Done caption in the upper right corner of the Add Subtask screen.

To close the subtask, tap the Close subtask square to the left of the subtask.
