How to merge cells?

Introduction

When working with electronic spreadsheets, you might need to combine several cells, for example, if you have too large content that does not fit to a single cell, or want to create a heading for a table. Using both online and desktop editors, you can perform the following operations:

  • merge some adjacent cells into one cell that spans across several columns/rows,
  • merge selected cells and center the data within the merged cell,
  • merge cells in each row across the selected cell range,
  • unmerge previously merged cells.

The following instructions explain how to easily merge cells in the Spreadsheet Editor.

Step 1. Select the cells you want to merge

You can select several adjacent cells with the mouse or hold down the Shift key and use the keyboard arrows to select the necessary range cell by cell.

Note: it's not possible to merge non-adjacent cells.

Step 2. Select the necessary merge option

Please note before merging: if several cells of the selected range contain data, only the data in the upper-left cell will remain in the merged cell. Data in other cells of the selected range will be deleted. If you want to preserve the data, copy them and paste into some other place on the worksheet.

Click the arrow next to the Merge Merge icon icon situated at the Home tab of the top toolbar to open the list of the available merge options. Select the one you need:

  • the Merge & Center option allows to merge the cells of the selected range and align the data by the center of the merged cell;

    Note: To quickly apply the Merge & Center command, you can just click the Merge Merge icon icon itself.

  • the Merge Across option allows to merge the cells of each row within the selected range and align the data by the left side of the merged cell (for text) or by the right side (for numeric values);
  • the Merge Cells option allows to merge the cells of the selected range and align the data by the left side of the merged cell (for text) or by the right side (for numeric values).

All these options affect the horizontal alignment only. Data is vertically aligned by the bottom of the cell.

If you need to split a previously merged cell, select it and use the Unmerge Cells option from the Merge Merge icon drop-down list. The data of the merged cell will be displayed in the upper-left cell.

To quickly split all the previously merged cells on the worksheet, select the worksheet using the Ctrl+A key combination or clicking the Select All Select All button button in the upper left corner and use the Unmerge Cells option from the Merge Merge icon drop-down list.

Now you know how to merge selected cells and split merged cells in your spreadsheet.
