Adding content to your portal via email

Want to add comments to your portal just replying to the notification email? Want to create new blog posts and events, tasks and discussions, upload files into Documents module by sending an email to a specific address? Read this tip and you'll be able to easily cope with it.

Bare Bones Instructions

There are two scenarios while creating comments in reply to email notifications:

  1. Receiving a notification about a new blog post, new event, new forum topic, new bookmark, new discussion, new task, editing a task or discussion within a project as well as a reminder about the task deadline, you can create a new comment within the corresponding portal section answering the notification email by erasing the notification text and entering your comment instead.
  2. Receiving a notification about a new comment within any portal section, you can reply to it answering the notification email.

Please delete all the notification text before composing a comment by pressing CTRL+A to select the entire email content and then the DEL key to delete it.

Creating a blog post via emailTo add a new blog post or event to your portal, please compose an email with the following parameters:

  1. Enter the following address into the address field: blog@xxx (for a blog post) or event@xxx (for an event) where xxx is your portal address (e.g. yourportal.onlyoffice.com).
  2. Use the hash sign (i.e. #) within the email subject to create tags for your new blog post if needed. These tags are separated by comma without spaces or should have their own hash sign: e.g. #blog,post,title or #blog #post #title.
  3. Enter a post or event title into the subject line.
  4. Enter the text of your post or event into the email body.

Please keep in mind, that no tags are added while creating an event.

Creating a task via emailTo create a new task in the Projects module, please compose an email with the following parameters:

  1. Enter the following address into the address field: task_pID@xxx where xxx is your portal address (e.g. yourportal.onlyoffice.com) and pID is project ID.
  2. Specify the task title as well as following parameters within the email subject if needed:
    • @first and last name or @last and first name - adds the person that is responsible for the task, e.g. @Maria Black. The case makes no difference.
    • ^date - adds the task deadline date. You should specify it in the following format: year-month-day, e.g. ^2012-08-24.
    • !number - adds the task priority: 1 – for high priority, 0 – for normal priority, e.g. !1 or !0. If you don't specify the task priority, the normal one will be set.
    • #mId - adds the task to the specified milestone where mID is milestone ID, e.g. #115718.
  3. Enter the task description into the email body.

Creating a discussion via emailTo create a new discussion within a project, please compose an email with the following parameters:

  1. Enter the following address into the address field: message_pID@xxx where xxx is your portal address (e.g. yourportal.onlyoffice.com) and pID is project ID you want to add the discussion to.
  2. Specify the discussion topic within the email subject line.
  3. Enter your message into the email body.

Uploading a file via email

To upload a file into the Documents module, please compose an email with the following parameters:

  1. Enter the following address into the address field: file_fID@xxx where xxx is your portal address (e.g. yourportal.onlyoffice.com) and fID is the needed folder ID or the "my" or "common" word (to upload the file into the My Documents or Common Documents section).
  2. Attach the file you want to upload to your portal.

Helpful Hints

Where can I find the project ID?

You can find your project ID entering the portal and opening the overview page of the project. It will be displayed within the address bar of your browser: https://yourportal.onlyoffice.com/products/projects/tasks.aspx?prjID=264778#sortBy=deadline&sortOrder=ascending where the project ID is 264778.

Where can I find the milestone ID?

You can find the milestone ID entering the portal, clicking the 'Tasks' option in the left-side menu of the 'Projects' module and selecting the needed milestone at the filter bar. The milestone ID will be displayed in the address bar of your browser: https://yourportal.onlyoffice.com/products/projects/tasks.aspx#sortBy=deadline&sortOrder=ascending&milestone=115718 where the milestone ID is 115718.

Where can I find the folder ID?

You can find the folder ID in the address bar of your browser when the needed folder is opened, e.g. https://yourportal.onlyoffice.com/products/files/#663905 where the folder ID is 663905.

Can anyone from any mail client add content to my portal?

The registered portal users only can add content to your portal sending an email from the email address they use to log in into the portal.

You can add content to your portal answering an email notification in case your mail client supports the Reply-to feature. During the testing phase problems occurred with the following mail clients: rambler.ru and qip.ru.
